Event Spaces and the Compromise Between Concert and Conference: How to Design a System for Three Different Event Types

An event space has incompatible requirements by definition. On Tuesday it hosts a corporate conference, on Saturday a wedding, and two weeks later a concert by a local band. Each of these events requires something different from the sound system, and all of them take place in the same room with the same technology.

The investor or operator usually recognizes this only when complaints start coming in.

  • A conference client says the speaker could not be heard.
  • Wedding guests say the music was too quiet in the corners of the hall.
  • The band says the system has no dynamics.

Each of these complaints comes from the same source, and a system that was not designed as multi-mode behaves like a compromise.

This guide explains why “universal sound reinforcement” does not work in an event space and why the decision about event AV is made at the level of signal architecture, not loudspeakers.

Three scenarios, three technical profiles

Corporate event and conference

The primary content is spoken word. A speaker stands at the front of the hall with a presentation on screen, the audience sits in rows, and the last row must have the same intelligibility as the first. In hybrid mode, a Teams or Zoom connection is added, and it must work both ways.

Technical requirements:

  • high speech intelligibility (STI above 0.70),
  • medium sound pressure level,
  • even coverage across the hall,
  • microphones for the speaker and for audience Q&A,
  • AEC (Acoustic Echo Cancellation) for hybrid mode.

Subwoofers are not needed in this mode, but if they are part of the system, they must be switchable off.

Wedding or private celebration

Music with speeches. Part of the evening is atmospheric, part of it is dance-oriented. A speaker takes a microphone and speaks from a table or near the DJ booth. Speeches are spontaneous and are not always addressed to the entire hall.

Technical requirements:

  • medium to higher dynamics,
  • microphones available in different locations, typically 2-4 wireless handheld microphones,
  • music with sub-bass presence for dancing,
  • even coverage also in the corners of the hall,
  • simple control for the DJ or wedding technician.

Concert and cultural event

Music is the primary content. Performers are on stage, sound pressure is high, dynamics range from silence to fortissimo, performers need monitoring so they can hear themselves, and an external sound engineer works from a mixing position in the hall.

Technical requirements:

  • high sound pressure level, often 100+ dB SPL peak,
  • wide frequency response including sub-bass,
  • separate monitoring for the stage and for the audience,
  • multiple microphone inputs, typically 8-16,
  • connection points for external equipment.

 

These three profiles differ in almost everything. Sound pressure, number of microphones, microphone placement and whether there is an external sound engineer in the hall. The design decision is this:

One system with three configurations, or three compromises in one system.

Why universal sound reinforcement does not work

A technical specification for an event space often contains a requirement such as “high-quality sound system for different types of events”. This is not a specification. It is a wish, because apparently even procurement documents enjoy vague poetry.

With such a brief, the supplier designs a system that is a compromise between all modes. And we all know what compromise means. It does not work optimally in any of them.

A system optimized for concerts has high sound pressure and sub-bass, but during a conference with low occupancy it sounds harsh and speech becomes overloaded. A system optimized for conferences has ceiling-distributed loudspeakers for even coverage, but at a concert it has no dynamics and lacks bass response.

The solution is to give the system different DSP configurations for different modes, with hardware dimensioned to handle the highest requirement across all use cases. Optimization happens through software, not through hardware.

Presets as the core of flexibility

The solution for a multi-mode space lies in the DSP processor (Digital Signal Processor) and in prepared presets for each event type.

A preset is a saved configuration that defines how the signal behaves in a specific mode. Which loudspeakers are active, at what level, with what equalization, how microphones are routed, and whether subwoofers are switched on.

A typical event space has 3-5 presets:

  • Conference mode – distributed hall coverage, subwoofers off or at minimum level, EQ optimized for speech, AEC enabled for hybrid meetings.
  • Wedding mode – full hall coverage with sub-bass presence, microphones for speeches with fast routing, music channel with DJ connection.
  • Concert mode – full sound pressure, monitoring setup for the stage, inputs for an external mix.
  • Atmosphere mode – background music for refreshments, cocktail parties or networking parts of an event.
  • Quiet mode – system switched off or minimal operation for small-group training sessions.

The preset is switched with one touch from the control panel. Staff or an external technician do not need to configure individual parameters. The mode is moved into a prepared state, and from there only the extra requirements of the specific client are adjusted.

The key difference compared with a system without presets is that each mode change takes one second, not half an hour of tuning. In an event space where different event types rotate throughout the week, this is the difference between a system that is actually used and a system that needs a technician to retune it before every event.

Microphones and guest equipment

The second layer of flexibility is the microphone and input architecture. This is where it is decided whether the space can also handle events that were not anticipated during the original design.

Microphone setup

For an event space, this typically includes a combination of wired and wireless microphones, and possibly ceiling beamforming microphones for conference mode.

In larger spaces, frequency planning for wireless microphones must also be addressed. Once 6-8 or more wireless channels are used, frequencies must be coordinated so they do not overlap, especially when external technicians also bring their own wireless equipment into the hall.

Patch panels and connection points

These allow a guest technician to connect their own equipment to the venue system. A sound engineer arriving with a band for a concert brings their own mixing console and microphones, but still needs a place to connect to the main loudspeakers in the hall.

A patch panel on stage and in the control room enables this connection without the technician having to understand the full architecture of the space. Without patch panels, every guest technician must be trained on the system, which in practice means that the venue is unusable for external productions.

Two mixing consoles

A fixed console in the control room and a portable one in the hall are standard in a professional event space. The fixed console is used for events operated by hotel or venue staff, while the portable console is used by external technicians who need to mix directly from the place where the audience is seated.

Interpreter booths

These are important for congresses and international conferences. They integrate with the main system through separate channels. Interpreters receive signal from the main microphones and transmit on separate frequencies, which participants listen to through headphones. When designing an event space, the decision is whether booths will be handled as a permanent installation or as a mobile solution for selected events.

Two situations: a new space and modernization

Event AV is handled in two basic starting situations.

New space

In a new build or major renovation, AV is included in the project documentation. Cabling, patch panels, technical rooms, loudspeaker positions and control technology locations are incorporated into the project before ceilings are closed.

This is the only situation where multi-mode architecture can be built at an optimal cost and where the acoustics of the space can still be influenced through material selection and layout. After final approval, additions and changes are possible, but the basic structure remains.

Existing space with a problem in a specific mode

This is the second most common situation. The space works, but one type of event does not. Typically conferences after concerts, or the other way around. The solution is built within the existing infrastructure, most often by adding DSP and presets, extending the microphone setup or adjusting coverage in the zones where problems appear.

For this type of project, the first step is an AAVS audit, which identifies what needs to be added and what can remain.

In both situations, it is crucial that the supplier understands multi-mode logic. A supplier who proposes “universal sound reinforcement” is not bringing a solution, only another layer of compromise.

How to recognize a supplier who understands event spaces

1. How many presets do you propose, and who will switch them?

A supplier who answers specifically, for example “five presets for conference, wedding, concert, atmosphere mode and quiet mode, switched from a touch panel at the hall entrance”, has experience with multi-mode spaces.

A supplier who answers “we will configure the DSP, no problem” does not.

2. How do you handle connection for a guest technician?

A concrete answer sounds like “an 8-channel patch panel on stage, 4 channels in the control room, and a portable console with Dante connection”.

A vague answer such as “we will set it during the event” means the space is not prepared for external productions.

3. How do you design stage monitoring?

For an event space that also hosts concerts, this is a decisive question. Without monitors, performers cannot hear themselves. A good supplier offers either stage monitors or in-ear monitoring with a wireless system.

4. What is your system calibration process after installation?

An event space cannot simply be “set and handed over”. Every preset must be calibrated in real conditions because acoustics change with occupancy. A good supplier reserves a separate day or two for calibration after installation and returns after 2-4 weeks.

Two projects that illustrate the principles in practice

Winter Riding Hall of Bratislava Castle

The Winter Riding Hall is a precise example of a multifunctional event space. It is used for state representative events, conferences during the Slovak Presidency of the Council of the EU and cultural programmes. Three completely different profiles in one historic space with a high ceiling and complex acoustics.

MediaTech designed a solution based on Renkus-Heinz ICL-FR-DUAL, ICL-FR and IC215S-FR loudspeaker systems. These models are recognized in commercial AV as a standard for faithful speech reproduction even in difficult acoustic conditions.

For performers on stage, the system includes four Renkus-Heinz CF121M-2 monitor loudspeakers, covering exactly the mode where budgets are most often cut: monitoring during concerts and live programmes.

The entrance areas and foyer are covered by Renkus-Heinz CFX41 loudspeakers connected to the main hall, so signal from a conference or cultural event also reaches the adjacent spaces. The control room is equipped with two mixing consoles: a fixed console in the control room for standard operation and a portable console in the hall for external technicians who need to mix from the same position as the audience.

This is a clear example of architecture that handles three modes without rebuilding. Conference client, cultural event and concert – all in the same system, with different configuration.

National Bowling Centre

The National Bowling Centre is an example of an event space from a completely different segment. Sports events, competitions, corporate team buildings and evening social events. The sound system must work for a commentator during a tournament, for live music during evening events and for background music during normal operation.

The difference compared with the Winter Riding Hall is that the space is fundamentally sports-oriented. There is a high level of noise from the lanes, specific acoustics created by metal structures and the need to cover a large area evenly. The solution was therefore built on a different logic, but with the same architectural philosophy: one system with different configurations for different event types.

Frequently asked questions

How much does a sound system for an event space cost?

The cost depends on the size of the space, the number of modes and the complexity of the microphone and guest infrastructure.

  • For a smaller event space up to 200 seats with a basic multi-mode setup, the investment starts from €25,000.
  • For larger spaces with full conference, concert and cultural functionality, it ranges from €80,000 to €300,000 and more.

A solution included in the project documentation before construction is completed is significantly cheaper than a later retrofit installation.

What is DSP and why is it essential in an event space?

DSP (Digital Signal Processor) is a processor that handles the audio signal in digital form. It changes levels, equalization, routing to outputs and applies filters. In an event space, DSP is the foundation of flexibility because it allows different configurations to be saved as presets and switched between them with one touch.

Can we use Spotify or other streaming services for background music?

No. Private streaming services explicitly prohibit use in a commercial environment in their licence terms. An event space that plays music during events must have SOZA and OZIS licences. The simplest way is through professional BGM services such as Soundtrack Business, Mood Media and similar services, which include licences in the subscription price.

What is the difference between a line array and a distributed system in an event space?

A line array is suitable for spaces with great depth above 25 metres or high expected sound pressure, for example concerts for 500+ people.

  • A distributed system – several smaller loudspeakers placed throughout the hall – is suitable for medium-sized spaces with less depth and lower demands on dynamics.
  • In a multi-mode space, both architectures are often combined, or a hybrid solution is chosen that can handle both scenarios.

Do you also handle acoustic treatment, or only sound systems?

We work at three levels of acoustics. For smaller spaces, we create an acoustic model internally. For commercial installations, we simulate coverage in manufacturer loudspeaker tools.

For complex spaces such as event halls and congress centres, we carry out a full acoustic study with external partners, including reverberation time measurement, STI and simulation in EASE.
